PART 1: Terms of Service

1. Acceptance of Terms

By accessing or using the Laconote mobile application, website, or Chrome extension (collectively, the "Service"), you agree to be bound by these Terms. If you do not agree, do not use the Service.

2. Description of Service & Architecture

Laconote provides AI-powered meeting transcription and summarization tools. You acknowledge and agree to the following unique architectural characteristics:

  • Local Storage: The master copies of your audio recordings and transcripts are stored locally on your device. Laconote does not maintain a long-term cloud archive of your raw audio.
  • Transient Processing: Audio data sent to our servers is processed immediately for the sole purpose of generating a transcript and summary. Upon completion of this process, the audio file is permanently deleted from our servers.
  • AI Processing: We utilize third-party Large Language Models (LLMs) to process your data. We have strict agreements in place ensuring your data is NOT used to train their general models.

3. User Responsibilities & Legal Compliance

CRITICAL: YOU ARE SOLELY RESPONSIBLE FOR COMPLYING WITH ALL APPLICABLE LAWS.

  • Consent: You acknowledge that laws regarding the recording of conversations vary by jurisdiction (e.g., "One-Party" vs. "Two-Party" consent laws in the US, GDPR in Europe). You agree to obtain all necessary consents from call participants before recording.
  • Notification: You agree to clearly notify all participants that the conversation is being recorded.
  • Prohibited Use: You may not use the Service to:
    • Record conversations surreptitiously, secretly, or illegally.
    • Violate the privacy rights, publicity rights, or intellectual property rights of others.
    • Harass, abuse, or harm another person.

Laconote disclaims all liability for your failure to obtain consent. You agree that you are the "Data Controller" for all recordings you create.

4. Indemnification

You agree to indemnify, defend, and hold harmless Laconote, its officers, directors, employees, and agents from and against any and all claims, liabilities, damages, losses, or expenses (including reasonable attorneys' fees and costs) arising out of or in any way connected with:

  • Your access to or use of the Service.
  • Your violation of these Terms.
  • Your violation of any third-party right, including without limitation any right of privacy or intellectual property right.
  • Your violation of any applicable law regarding call recording or wiretapping.

5. Disclaimer of Warranties ("As Is")

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. Laconote does not guarantee that the Service will be uninterrupted, secure, or error-free. The quality of transcription depends on audio quality and may contain errors.

6. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, LACONOTE SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS OR REVENUES, WHETHER INCURRED DIRECTLY OR INDIRECTLY, OR ANY LOSS OF DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES.

PART 2: Privacy Policy

1. Introduction

Laconote ("we", "us") is committed to protecting your privacy. Unlike many competitors, we do not monetize your data or use it to train our models.

2. The "Zero-Retention" Promise

We operate on a Transient Processing model for audio data:

  • Audio Data: When you record a meeting, the audio is sent to our secure servers solely for transcription. It is deleted from our servers immediately after the transcription is generated. We do not store your audio files in the cloud.
  • Text Summaries: The generated text summaries are sent back to your device. You control whether these are backed up to our cloud or stored only locally.

3. Information We Collect

  • Account Information: Email address, name (for authentication).
  • Usage Data: Anonymized metrics (e.g., "recording duration", "error rates") to improve the app stability.
  • User Content: Text transcripts and summaries (only if you enable cloud sync).

4. How We Use Your Data

  • To Provide the Service: Transcribing audio and generating summaries.
  • To Improve AI: We DO NOT use your audio recordings or transcripts to train our general AI models. Your data remains yours.

5. Data Sharing & Subprocessors

We use trusted third-party providers to process data. We have Data Processing Agreements (DPAs) with strict privacy clauses with:

  • LLM Providers (e.g., Groq, OpenAI): For transcription and summarization. They are contractually prohibited from using your data for model training.
  • Cloud Infrastructure (e.g., AWS/Google Cloud): For hosting the API.

6. Your Rights (GDPR & CCPA)

You have the right to:

  • Access: View all data we hold about you.
  • Delete: Request deletion of your account and all associated data. Since we do not hold your audio, deleting your account removes your metadata and any synced text.
  • Opt-Out: You can manage your local storage settings in the app.

7. International Transfers

If you are located in the EEA, note that your data may be processed in the United States. We rely on Standard Contractual Clauses (SCCs) and the Data Privacy Framework to ensure your data is protected during transfer.
